How Much Does Custom Software Cost in India? A 2026 Pricing Guide

If you have asked three companies to quote for the same software, you have probably received three wildly different numbers — ₹80,000 from one, ₹4,50,000 from another, and something in between from the third. None of them explained the gap. This post explains the gap.

We build custom ERP, CRM and billing systems from Madurai, so these are the ranges we actually see in the Tamil Nadu market in 2026 — not global averages that have no bearing on what you will pay here.

The honest price ranges

These assume an Indian development team, a single business, and software you own outright rather than rent per user.

If a quote sits far below the bottom of these ranges, something is being left out — usually testing, data migration, training, or the first year of support. That cost does not disappear. It arrives later, as a change request.

What actually drives the number up

1. The number of user roles

This is the single most underestimated cost driver. Software with one type of user is straightforward. Software where an admin, a manager, an accountant, a floor supervisor and a delivery agent each see different screens and have different permissions is not one system — it is five overlapping ones. Every role roughly adds 15–25% to the build.

2. Integrations with things you do not control

Connecting to Tally, a payment gateway, a GST filing portal, an SMS provider, or a courier API means working against someone else's rules, someone else's downtime, and someone else's documentation. Budget ₹15,000–₹50,000 per integration, and expect the ones with poor documentation to take three times longer than the ones with good documentation.

3. Migrating your existing data

Almost every business underestimates this. Ten years of records in Excel files with inconsistent column names, duplicate customers, and dates stored five different ways will take real engineering effort to clean and import. On older businesses this can be 10–20% of the entire project cost, and it is the part most likely to be quietly excluded from a cheap quote.

4. Whether you actually know what you want

A clear specification is worth more than any discount. Projects where requirements shift every fortnight cost substantially more than the same project scoped properly upfront, because work already completed has to be undone. Two weeks spent writing down exactly what each screen must do will save far more than two weeks of development.

What you can safely cut

If your budget is genuinely tight, these are the right things to postpone:

• A mobile app on day one. A responsive web app works on every phone and costs a fraction of a native app. Build the app once the web version has proven itself.
• Dashboards and analytics. Attractive, and almost never used in month one. Ship the core workflow first; add reporting once you know which numbers people actually ask for.
• Automation of rare tasks. Automating something that happens twice a year rarely pays for itself. Automate the daily tasks.
• Custom design. A clean, standard interface built on an existing component library works fine internally. Save the design budget for anything customers see.

What you should never cut: testing, data backups, and training your staff. Those are what determine whether the software is still in use twelve months later.

Custom build vs off-the-shelf

Custom is not automatically the right answer. If Zoho, Tally, or a standard SaaS product covers 80% of what you need, use it and adapt your process to the remaining 20%. Custom software earns its cost in one specific situation: when your process is genuinely different from everyone else's, and that difference is the reason you win business.

The maths is straightforward. A ₹2,00,000 custom build with no per-user licence is cheaper than a ₹1,200/user/month SaaS product for a 20-person team inside eight months. Below about eight users, SaaS usually wins. Above twenty, custom usually wins.

Questions to ask before you sign anything

1. Who owns the source code when the project ends? Get the answer in writing.
2. What is included in support after handover, and for how long?
3. What happens to the price if requirements change mid-project?
4. Where is the data hosted, who has access, and how are backups taken?
5. Can I speak to a client you built something similar for?

A company that answers all five clearly is worth paying slightly more for. A company that gets vague on question one is worth walking away from — software you do not own is software you will rebuild.
